Websites for event production companies

An event production company sells something nobody can try before buying. The client cannot test your event, so they judge you by what you already did and by how easy it is to ask you for a price. A website for an event producer or organizer needs four things: a portfolio of real events, a quote form that asks the right questions, a WhatsApp button that works, and, if you work with clients from abroad, pages in their language. I build that as a website in 7 days for USD 400, or as a full website for USD 900 when you want a panel to add events yourself.

The portfolio is your sales pitch

A list of services (“corporate events, launches, conferences”) says nothing. Every producer writes the same list. What sells is the work: one page per event, with the type of event, the city, the scale, what you were in charge of, and photos that show the setup, the crowd and the details. A client planning a product launch wants to see a product launch, not a wedding.

Structure matters here. If each event lives on its own page, with its own title and real text, Google can show it when someone searches for that type of event in that city, and AI assistants can read it when someone asks them for a producer. A gallery of 80 photos with no text does neither. I wrote more about that in how to show up in ChatGPT and AI answers.

One rule: show only events you produced. If you rented the stage from someone else, say what your part was. Clients in this business talk to each other, and an honest portfolio is easier to defend than an impressive one.

A quote form that asks what you need to price

The worst quote form has three fields: name, email, message. You get “hi, how much for an event?” and have to start a conversation from zero, which means days of back and forth before you can send a number.

A good form for an event producer asks, in this order:

  • Date (or month, if they do not have one yet)
  • City or venue, if they already have one
  • Type of event (corporate, launch, conference, party, activation)
  • Approximate number of guests
  • What they need from you (full production, only technical, only staffing)
  • A contact: email and phone

Six short fields, most of them with options to tap, not text to type. With that you can tell in a minute whether the event fits your calendar and your scale, and reply with a first range the same day. Fast replies matter in this business because the client is usually asking three producers at once.

WhatsApp, but with context

In Latin America most event conversations end up on WhatsApp anyway. The button should be visible on every page, and it should open the chat with a message already written that says which page the person was on (“Hi, I saw the product launch case and want a quote”). That way you know what they looked at before answering. I covered the setup in connecting your website to WhatsApp.

Clients from abroad: their language, not a translator button

If you produce events for brands or agencies from other countries, a site in Spanish only is a wall. Each extra language costs USD 200 with me, and it means real pages in that language: the portfolio, the services and the form, with dates and currencies the way that client reads them. A translator widget in the corner does not rank on Google in that language and reads like a machine. The details are in multi-language websites.

When the website grows into a system

Some producers need more than a showcase: guest registration, QR accreditation at the door, a panel to manage invitations by sponsor. That is a custom system, from USD 2,500 and 4 to 6 weeks. I built one for SOMOS DER, an event production company: it is called PASE and runs at pase.somosder.ar. I explained how it works in QR check-in and event accreditation. Most producers do not need it on day one; the website comes first.

Frequently asked questions

Which plan fits an event producer?

If you want a site with up to 5 sections (home, services, portfolio, about, contact) live fast, the USD 400 site in 7 days. If you want to upload new events yourself from a panel, as many as you want, the USD 900 full website, delivered in 2 to 3 weeks. Both at a fixed price, in writing.

Can I show events where I cannot name the client?

Yes. Describe the event by type, city and scale (“product launch for a beverage brand, 400 guests”) and show photos that do not reveal logos. The case still proves you can do it.

Do I need to keep the site updated?

A portfolio that stopped two years ago looks like a company that stopped too. If you prefer that I handle updates, monthly maintenance costs USD 30 to 60 per month.
