QR check-in and event accreditation systems, explained
An event accreditation system does three jobs: it registers people before the event, issues each one a unique QR code, and validates that code at the door in under a second. I built exactly that for SOMOS DER, an event production company with more than 150,000 attendees: the system is called PASE and runs at pase.somosder.ar. A build like it starts at USD 2,500 and takes 4 to 6 weeks.
How QR accreditation actually works
Each guest gets a unique code tied to their record in a database: name, ticket type, and which entrances or time slots they are allowed. At the door, staff scan the code with a phone, no special hardware. The system answers with a green or red screen and, crucially, marks the code as used.
That last part is where most improvised solutions fail. A QR that is just a link, or a PDF list at the door, cannot stop the same code from entering twice. A real system burns the code on first use, or allows re-entry only for the guest types you define. In PASE, a VIP can come and go all night while a single-shift pass is consumed on first scan. That rule lives in the guest type, not in the door staff’s memory.
What matters beyond the scan
Registration is half the system. PASE handles invitations with capacity limits per time slot, so a sponsor can invite 200 people to a Saturday shift and not one more. The registration form can even be embedded in someone else’s website with two lines of code.
The door has to work with terrible connectivity. Event venues have saturated networks, so scanning must be fast and resilient, and the interface has to be readable in sunlight and usable with one hand by staff who got 5 minutes of training.
Reporting closes the loop: who came, when, through which entrance. For sponsors and producers, that attendance data is often worth more than the door control itself.
What it costs and when it makes sense
Ticketing platforms like Eventbrite charge roughly 3 to 7 percent plus a fee per ticket. For free events, invitation-based events, or recurring productions, that model gives away money and hands your guest list to a third party. A custom system is a one-time cost, starting at USD 2,500, that you reuse event after event, with the data in your name. For a single small event, a spreadsheet and a check-in app are honestly enough. The custom build pays off when events repeat, guest rules get complex, or the brand experience at the door matters.

Do I need special scanners?
No. Any modern phone camera works as the scanner. Staff open a web page, point the camera, and get a green or red answer. No app installs, no rented hardware.
What happens if the internet fails at the venue?
The system is designed for weak connectivity: scans are lightweight and fast. For critical doors, a fallback mode with a pre-loaded list can keep the line moving until the network returns.
Can different guests have different access rules?
Yes, that is the core of the design. Guest types define re-entry, valid time slots, and allowed entrances. VIPs can re-enter freely while standard passes are single-use, all automatic.
How long does it take to build?
