Wedding planner websites that book meetings

A couple does not hire a wedding planner from a website. They hire them after a first meeting. So the website of a wedding planner has one job: get that meeting on the calendar. Everything on the site should push in that direction: a gallery that shows how you work, packages with a “from” price so nobody wastes a call, a form that asks for the wedding date, and a way to book the first meeting without five emails in between. I build that as a website in 7 days for USD 400, or as a full website for USD 900 with the meeting calendar built in.

Most wedding planner sites have one huge gallery of beautiful photos from many weddings mixed together. It looks nice and proves little. A couple wants to imagine their own day, and that is easier with stories: one page per wedding, with the place, the season, the number of guests, what the couple wanted and how you solved it. A rainy outdoor wedding you moved indoors in two hours says more about you than any photo of a centerpiece.

Each of those pages is also text that Google and AI assistants can read. When someone searches for a planner for a countryside wedding, a page about a countryside wedding has a chance to appear. A gallery without words does not.

Keep the photos light. A gallery of 40 full size images can take many seconds to open on a phone, and couples browse on their phone. Every image on a site I build is compressed and served in modern formats; I explained why it matters in page speed and the cost of every second.

Packages with a “from” price

Hiding prices feels exclusive, but it fills your calendar with meetings that go nowhere. A couple with half your budget books a call, you spend an hour, and nobody wins. Publish your packages (full planning, partial planning, day coordination) with what each one includes and a price that starts with “from”. The couples who book a meeting after reading that are couples who can afford you.

The “from” is honest: every wedding is different and the final number depends on the guest count, the place and the date. But it sets the right expectation before the first word.

A form that asks for the date first

For a wedding planner, the date is the first filter. If you already have a wedding that Saturday, nothing else matters. The form should ask, in this order:

  • Wedding date (or month and year, if not fixed yet)
  • City or venue, if they have one
  • Approximate number of guests
  • Which package interests them
  • Names and a contact

With the date first you can reply in minutes: “that date is free, let’s meet” or “that date is taken, but I can recommend a colleague”. Both answers are better than silence.

Let them book the first meeting

The last step is the one most sites skip. Instead of “we will contact you”, show a calendar with your available slots for first meetings and let the couple pick one. They get a confirmation by email, you get the meeting on your calendar with the form data attached. No back and forth about “does Tuesday at 6 work?”.

That calendar is part of the USD 900 full website. I covered what makes a good booking flow in booking and scheduling systems. If you prefer to start simple, the USD 400 site can end with a WhatsApp button that opens the chat with the wedding date already written; see connecting your website to WhatsApp.

Frequently asked questions

Do I really have to publish prices?

You publish a starting price, not a quote. It is the cheapest filter you have: it saves you the meetings with couples who were never going to hire you, and it makes the ones who do book arrive ready to talk details.

Can I add new weddings to the site myself?

With the USD 900 full website, yes: you get a panel to add a wedding with its photos and text, without calling me. With the USD 400 site, updates go through me or through monthly maintenance at USD 30 to 60 per month.

I plan destination weddings for couples from other countries. Does the site need English?

If those couples search in English, yes. Each extra language costs USD 200, and it should be real pages, not a translation widget. The reasons are in multi-language websites.
