WhatsApp bots for business: real uses and real costs

A WhatsApp bot for a small business costs from USD 300 with me, built and connected, and it earns its keep by doing three things: answering instantly at any hour, asking the qualifying questions you always ask, and booking or routing the conversation to a human. That is it. The inflated version of this product, sold by US agencies at USD 5,000 plus monthly fees, does the same three things with a prettier dashboard.

What a bot realistically does well

WhatsApp is where customers already are, and the first minutes decide whether an inquiry becomes a sale. A bot is good at exactly the repetitive start of every conversation:

  • Instant first reply. “Hi, thanks for writing. Are you asking about X or Y?” at 11pm on a Sunday, when the competitor answers Monday afternoon.
  • Qualification. Collecting the 3 or 4 facts you always need (what service, when, where, budget range) before a human spends a minute.
  • FAQ answers. Hours, location, prices, requirements. Half of most businesses’ messages are the same five questions.
  • Booking. Offering available slots and writing the appointment into your calendar.
  • Handoff. The moment the conversation leaves the script, a human takes over with the full context already collected.

What to skip

Skip the fantasy of a bot that “sells by itself” and handles any question. Free flowing AI conversation with customers needs guardrails and review, and I cover what is realistic in AI chatbots: what to honestly expect in 2026. For most small businesses, a well designed guided flow (buttons and short questions) converts better than open chat, precisely because it steers to the point.

Also skip bots on your personal WhatsApp number with unofficial tools: accounts get banned. Serious automation runs on the WhatsApp Business API with your business number.

What it costs and what it saves

My builds start at USD 300 for a guided flow: menu, qualification, FAQs, calendar booking and human handoff, connected to your website button. More complex flows (order status lookups, payments, integrations with your systems) are quoted on top; the full picture is in my pricing, and the pipeline from site visit to chat is described in connecting your website to WhatsApp.

The return math is simple. If missing after hours messages costs you 5 inquiries a month and you close one in three at USD 200 each, the bot pays for itself in the first month, forever after is margin.

Frequently asked questions

Do customers hate talking to bots?

They hate bots that trap them. A bot that answers instantly, asks 3 short questions and hands off to a human when needed measures better than a human who replies in 4 hours. The rule is: never pretend the bot is a person, and always offer an exit to a human.

Do I need the paid WhatsApp Business API?

For a real bot, yes. The free WhatsApp Business app only offers one greeting and one away message. The API has per conversation costs from Meta (fractions of a dollar), which for small volumes means a few dollars a month.

Can the bot use my existing number?

Yes, a business number can be migrated to the API, keeping it visible to your customers. The migration has steps that must be done in the right order, which is part of what I deliver.

What happens when the bot does not understand something?

In a guided flow this barely occurs because options are buttons. When free text does not match anything, the bot says so honestly and hands the chat to you with everything collected so far.
